How to reply E-mail Professionally




E-mails are used to discuss about some important issues and information. So, if

we don’t answer them on time, then we can miss some important information and messages. If you don’t reply them on time, then you can miss some deadlines and information. So always try to reply e-mails on time.We should have neat skills of down editing while replying an e-mail effectively (Mary, Loewy, Rhodes, & Rogin, 2016).

v Reply to the main points:  If you are doing any discussion never put it into e-mail, always try to reply an e-mail to the point. The reason behind it is, that receivers don’t want to read too much. Only include the sender’s message and your reply 
(Urban, 2014). Delete the signatures of sender’s and message header. Your message will be identified by your initials (Mary, Loewy, Rhodes, & Rogin, 2016). 

v Write important message on top: Always try to put your important message on top, so the reader can read it and can answer it first. Start with the main idea and try to include the date and time. If topic of yours E-mail is changed, then change the subject of e-mail. Use heading and bullets to highlight the points. Try to include s effective subject line (Oyedotun, 2018).
v Use reply to all: You need to send your e-mail to all the senders not to only one person because if the sender attaches other persons in e- mails it means that this e-mail is important for them too.
v Answer as soon as possible:Answer the Email as soon as possible because in the workplace the e-mails can be related to the meetings and important decisions, so you should reply to e-mail within 24 hours (Urban, 2014).

v Use friendly tone: Try to use a friendly tone without using facial expressions and avoid to using all caps because it looks rude to the reader (Mary, Loewy, Rhodes, & Rogin, 2016).
v Close effectively:   After ending, read your e-mail to make sure everything is correct. Add your full contact information, due dates, the next step to be taken, or a friendly remarks like Thanks (Oyedotun, 2018).
v Use your signatures at the end: Always include signatures at the end of the e-mail. It will help to receiver to get a sense of that, who are on a professional level. If you are using your phone to reply an e-mail, than always match your signatures with desktop because it will look unprofessional if it will show sent from iPhone on bottom (Caramela, 2017).
v Proofread: Mistakes, typing errors and grammatical errors can make your E-mail response unprofessional. So proof reading is important for avoiding these kinds of errors (Caramela, 2017).
