In workplace, e-mails are used because we can keep a record of data and attach documents and links. However there is a problem that the average person using e-mail for business has. They receive and send over 100 emails a day, according to a report published by the Radicati Group. Most importantly, e-mails are misunderstood easily, So we should follow some steps to writing a professional e-mail  (Masters, 2014). Here, I am attaching a video that elaborate some tips for writing professional email.

Tips for writing a Professional E-mail

v Clear Purpose: According to David Masters, we should have a clear purpose for writing an e-mail because if you are not sure about it, then you are wasting your time and the recipient’s time. So, write a subject line that make your purpose clear. (Masters, 2014).

v Use short sentences: Back in 1946, George Orwell advised writers to:
“Never use a long word where a short one will do”
Use short sentences and words, which are easy to understand. It will be more effective and easier to deliver our message in the correct manner. It will make our e-mail more understandable (Masters, 2014).
v Use five sentences: Always use five sentences for an e-mail. If we use less than five sentences, then it will look rude. If we use more than five sentences, then it will take too much time.
v Use active voice: There are two kinds of voice: active and passive. Always try to use active voice because it is easy to read and understand. To make your e-mail more effective, use the last names of the receivers (Masters, 2014).
v Proofread E-mail: It is important to proofread e-mail. Check sentence formation, grammar mistakes and punctuation before hitting the send icon. It will make our e-mail error free. It will have a positive impact on reader. In addition, we can make messages direct. (Masters, 2014).
